Gardeners Holborn is committed to providing gardening and grounds maintenance services in a way that protects the health, safety and welfare of our employees, subcontractors, clients, visitors and members of the public. This Health and Safety Policy sets out the principles, responsibilities and arrangements that guide all our work activities, from routine garden maintenance to more complex landscape projects.

Our aim is to prevent injury, ill health, property damage and environmental harm arising from our operations. We will comply with all relevant health and safety legislation and recognised industry best practice, and we will continually work to improve our standards and performance.

Management Responsibilities

The management of Gardeners Holborn has overall responsibility for implementing and maintaining this Health and Safety Policy. Managers will provide clear leadership, suitable resources and effective systems to manage health and safety risks associated with gardening, landscaping and related services.

Risk assessments are carried out, kept up to date and communicated to those affected by the work. Safe systems of work are developed and followed for all tasks, including the use of machinery, work at height, handling of green waste and application of any gardening products. Suitable equipment and personal protective equipment are provided, maintained and replaced when necessary. Employees are given the information, instruction, training and supervision required to work safely and competently. Accidents, incidents and near misses are reported, investigated and used to improve our safety management arrangements.

Employee Responsibilities

Every employee and subcontractor working on behalf of Gardeners Holborn has a duty to protect their own health and safety and that of others who may be affected by their work. All personnel must cooperate fully with this policy and any related procedures.

Employees are expected to:

Follow all safety instructions, risk assessments and method statements provided for gardening and landscaping tasks. Use tools, machinery and vehicles only for their intended purpose and in accordance with training and manufacturer guidance. Wear and correctly use any personal protective equipment provided, such as gloves, eye protection, hearing protection, safety footwear, high visibility clothing and respiratory protection where required. Report any hazard, defective equipment, unsafe system of work or near miss to management without delay. Refrain from working under the influence of alcohol, drugs or any other substance that may impair safe performance.

Risk Assessment and Safe Working Practices

Risk assessments will be completed for all significant gardening and maintenance activities, such as grass cutting, hedge trimming, tree work, pressure washing, use of powered tools, application of treatments, waste handling and driving between sites.

These assessments will identify hazards, evaluate risks and set out control measures. Safe working practices may include the use of guards on machinery, safe distances from the public, traffic management when working near roads, manual handling controls, restricted access zones during tree and hedge work, and appropriate selection of tools and equipment.

Risk assessments will be reviewed periodically and after any significant change in work methods, equipment or location, or following any accident or incident.

Use of Tools, Machinery and Vehicles

All gardening tools, machinery and vehicles will be selected, operated and maintained with safety as a priority. Only trained and authorised personnel may use powered equipment such as mowers, hedge trimmers, chainsaws, blowers and powered cultivators.

Pre-use checks will be carried out on all relevant equipment to ensure it is in safe working order. Defective or damaged equipment will be removed from service immediately until repaired or replaced. Guards, safety devices and emergency stops must never be removed, bypassed or disabled.

When operating vehicles and towing trailers, drivers must hold the appropriate licences, follow road traffic laws and operate in a considerate manner, taking particular care in residential areas and busy streets.

Control of Substances and Environmental Protection

Where gardening products such as fertilisers, soil improvers or other substances are used, they will be assessed and controlled in line with their safety information. Safer alternatives will be chosen where reasonably practicable, and quantities used will be kept to the minimum necessary for effective treatment.

Substances will be stored, transported, mixed, applied and disposed of in a way that minimises risk to people, animals, plants and the wider environment. Spillages will be contained and cleared promptly, and appropriate personal protective equipment will be worn where indicated.

Manual Handling and Musculoskeletal Health

Gardening work often involves lifting, carrying, pushing, pulling and repetitive movements. Gardeners Holborn will reduce manual handling risks by using mechanical aids, planning work to avoid unnecessary lifting, and breaking down loads where possible.

Employees will receive guidance on safe lifting techniques, correct posture and task rotation. Heavy items such as bags of soil or equipment will be handled by more than one person or with lifting aids where needed. Any signs of strain or discomfort must be reported so that adjustments can be made.

Public Safety and Site Security

We recognise our duty to safeguard clients, visitors, neighbours and members of the public in the areas where we work. Work sites will be organised to minimise risks from moving vehicles, machinery, tools, falling objects and trip hazards.

Barriers, cones or warning signs will be used where necessary, especially near paths, entrances, car parks and shared spaces. Tools and materials will be stored safely when not in use and removed from site promptly at the end of each working day.
